How Our Billing Works

Family Health Clinic Malvern is a private billing practice. Fees vary according to consultation length, time of attendance and the service provided. A Medicare rebate may apply if the patient and service meet current eligibility requirements. The difference between the clinic fee and any applicable rebate is the patient’s out-of-pocket cost.

We aim to provide clear information about expected fees before care is provided where practicable. Please ask reception for the current fee when booking, particularly if a procedure, treatment-room service, report or form may be required.

Discount billing policy

We may give priority discounts to certain cohorts (e.g., children <15, concession/pension card holders) for selected services. Otherwise, private fees apply with Medicare rebates where eligible.

Rebates & claiming

You can claim your Medicare rebate on the day (electronic claim), given you have your physical debit card. The gap is the difference between the clinic fee and the Medicare benefit.

Payment methods

  • EFTPOS/credit card; note any card surcharge if applicable.
  • We do not accept inducements unrelated to care.
  • No inducements unrelated to care: The clinic will not accept gifts, incentives, or benefits that are not directly connected to providing healthcare services. This ensures ethical practice and compliance with AHPRA and Medicare rules, avoiding any perception of bias or conflict of interest.
  • Essentially, it reinforces financial transparency and ethical standards—patients pay for their care only, and the clinic does not engage in promotional or non-health-related inducements.

Financial consent

  • The clinical team will provide an estimate before treatment, where feasible, and discuss any out-of-pocket costs so you can make an informed decision.
  • Please set the expectation that the fee update happens yearly around the end of the financial year, so the practice fees currently on the website are for 2026 to the end of June 2027.

Why are we doing this: Publishing typical fees and estimated gaps improves transparency, like other private clinics in Melbourne.

Family Health Clinic Malvern is a private billing practice. Bulk Billing is NOT available. However, we offer discounted rates to government concession card holders and children under 15 years.

After hours gap includes 5pm-8pm on weekdays, and all-day Saturdays and Sundays.

All fees are payable on the day. We accept EFTPOS and credit cards.

Medicare Rebates

Rebates can be claimed electronically at the time of payment, given that you have your physical debit card.

Patients Without Medicare

Patients without a Medicare card must pay upfront. We will provide an invoice so you can claim through to your private health insurance (e.g., Bupa, Medibank, NIB, etc.).

After-Hours Definition

Weekdays after 6 pm–8 pm, after 1 pm Saturdays, and all-day Sundays.

Medical Transfer Records Fee

Our clinic is fully private, and a $30 administrative fee applies for transferring medical records to another clinic.

WorkCover/Insurance

All WorkCover patients must pay upfront, and we will provide invoice so patients can claim it back from insurance (including Allianz, DXC, EML, Gallagher Bassett, TAC, UHG, WorkCover).

Clinical Notes, Medical Records & Reports Requests (from WorkCover, Insurance, Law Firms, etc.)

Our clinic operates under a fully private billing model. Any requests for medical records, reports, or clinical notes are subject to fixed fees, regardless of insurer. These charges will be communicated clearly before we begin processing.

In line with Medicare and patient-consent obligations, our private billing fees are set independently of Medicare benefits and disclosed before service is provided.

We are fully committed to assisting you promptly once payment is received. We appreciate your understanding that preparing these medical documents requires valuable clinician time beyond standard consultations.

Yes, our practice billing policy governs the entire clinic, including locums and independent contractors. If you have a prior arrangement with your usual doctor, please note that this does not automatically apply to other doctors in the clinic if your usual doctor is not available.
